Job Purpose:


Is responsible for managing the PA and/or Team Assistants resource across the business. This includes coordinating with Business Unit Manager, Technology, Facilities Management to ensure there is adequate support at all times. 


In addition the candidate will be responsible for aspects of business administration and secretarial support for the Newton CIO and working in partnership with the support for the CEO.




  • Supervision and coordination of the PA & Team Assistants across the business, ensuring both the CIO, management committee & investment desks are resourced efficiently, in particular during holiday periods

  • Working under limited supervision, to deliver a seamless secretarial & administrative service to the CIO; responsible for supporting multiple projects undertaken by the business

  • Maintain the administration and management of the Mentoring Scheme

  • Coordinate the Graduate Trainee programme

  • Proactive diary management; Make travel arrangements through the Company travel provider and arrange itineraries

  • Manage and process expense claims and act as proxy for the CIO on internal systems, where appropriate

  • Typing letters/meeting notes, including minute taking; collating information for reports

  • Conduct research related to speaking engagements which the CIO is invited to participate in and present

  • Development and/or updating of PowerPoint presentation material

  • Telephone Management: Answer calls, take messages from contacts, clients and consultants, filter/prioritise all calls and assist the caller where possible

  • Interact with major clients and business partners; handle highly confidential relationships and associated materials, both internally & externally

  • Maintenance of filing system for documents, general correspondence, reports and presentation papers and archiving records; dealing appropriately with post

  • Provide other administrative support to Executive team travelling from the other geographies, creating itineraries for overseas visitors

  • Booking meeting rooms, restaurants, couriers and taxis

  • General assistance for the team as required

  • Ordering of office supplies for the team

  • Any other duty as required by the line manager commensurate with the role




Job Specific Competencies

  • Solid experience of managing a support team

  • Extensive experience in a similar role; Investment industry experience is a distinct advantage

  • Self starter, proactive and apt at dealing with ambiguity and change

  • Exceptional communication and organizational skills.

Technical Skills, Knowledge, Systems Knowledge (and associated skill level)

  • Proven secretarial/PA experience
  • Strong skills in Microsoft Office suite
